Administrative Assistant

Location: Altamonte Springs, Florida

Part time to start – may evolve to full time position.

This position is responsible for handling many aspects of accounts receivable, accounts payable, and the overall administrative needs of the company.

Candidate must have knowledge of basic accounting principles.  Peachtree or Quick Books accounting software experience helpful.  Good computer skills required and must be proficient in the use of MS Office Word and Excel.  Attention to detail, organized and dependable, with excellent verbal and written communication skills a must.  Prior office experience preferred.

Duties include:

  • Record cash receipts and prepare bank deposits
  • Check shipping bills for accuracy and prepare for payment
  • Reconcile bank accounts
  • Prepare and time and material billings and monthly depot service billings
  • Match purchase orders to vendor invoices and record vendor purchases. Insure that all items billed were received, and prepare weekly batches for payment
  • Contact customers with past due invoices regarding payment status
  • Ordering and maintaining office supplies
  • Enter service repair tickets in MS Access database, and verify against service logs
  • Mail invoices and checks
  • Filing
  • Answer phones
  • Assist with marketing campaigns and follow up sales calls
  • Miscellaneous administrative duties as required
